Keep one checked register of licences, renewals and deadlines
For businesses whose licences, insurances and contract dates live in drawers and inboxes: AI reads each document and drafts register rows — dates, renewal terms, what it triggers — and a named person verifies every entry before it counts as current.
Baseline
Expiries are discovered when a customer or inspector asks, and preparation starts the week a deadline lands. Record it: obligations with no listed expiry date right now, the last lapse and what it cost in time.
Sample output
Register draft: “Public liability insurance — expires 14 Mar; insurer notifies 30 days prior (policy p.2, verified ✓). Trade licence — expires 30 Jun; renewal form due 6 weeks before (notice letter, unverified — owner to check).”
Illustrative example. Not a live customer result.
Inputs
- The documents themselves: licences, certificates, insurance policies, contracts
- Your list of what must stay current (start with whatever has an expiry)
- A named person who verifies each entry
What AI prepares
- Read each document and extract expiry dates, renewal terms and notice periods
- Draft a register row per obligation with the source document and page named
- Prepare 90 / 60 / 30-day reminder drafts addressed to the named owner
- Flag documents where the date is ambiguous or missing for human reading
A person approves
- A named person verifies every extracted date against the original document
- The register shows which rows are verified and which are still drafts
- Nothing is filed or renewed automatically — a person lodges
