Quoting without the bottleneck

In most small businesses, the quote is the moment the customer is won or lost — and the moment the owner becomes the bottleneck.

Why quotes stall

Quotes stall because the pricing rules, the templates and the approval all live in one person’s head. When that person is on site, in a meeting, or finally having lunch, the quote waits. Australian trades businesses quote standard jobs by hand in two to four hours and convert 30 to 40 per cent of them. The fix is not to rush the person. It is to make the repeatable part repeatable, so the only thing waiting on you is the decision.

Speed is a bigger lever than price

The evidence here is hard to argue with. The Lead Response Management Study found 78 per cent of customers buy from the business that responds first — not the best, not the cheapest, the first. Contact a lead within a minute and conversion runs about 391 per cent higher than a slow response. Come back within five minutes and you are 21 times more likely to qualify the lead than if you wait half an hour. Meanwhile the average B2B business takes over 42 hours to reply, and 63 per cent of leads never get any reply at all. That is the gap a same-day quote sits in.

What same-day quoting is worth

Australian plumbing, electrical and HVAC businesses that moved quoting onto a system using their own price book and labour rates report standard jobs quoted in 10 to 15 minutes instead of two to three hours, and quote-to-job conversion rising from 30–40 per cent to 60–70 per cent. The gains come from two places: the quote arrives while the customer is still deciding, and the follow-up at 24 hours, three days and seven days actually happens. Most quotes are not lost on price. They are lost to silence.

Separate drafting from deciding

A first draft can be produced from your own rates, your own templates and your own rules, in minutes. Whether this price, this scope, this customer is right stays with you. That split is what lets you move fast without taking on risk — the role does the typing, you do the judgement, and nothing goes out that you have not approved.

Write the standard for a good quote

Before any of this works, write down what a good quote contains: the line items, the assumptions you always state, the exclusions you always list, the tone you use. A stated standard is the only thing that lets anyone — human or otherwise — check the output before it reaches a customer. Without it, you are reviewing every quote from scratch, which puts the bottleneck right back where it started.
