Why the quarter always ends badly

The shift that changes everything is moving the work from the deadline to the moment it happens. Categorise the transaction when it arrives. Attach the receipt when the job finishes. Flag the missing document the week it goes missing, not the night before lodgement. Done continuously, the quarter is a background process rather than a two-week fire. That is not a discipline most owners can maintain by hand, which is exactly why it belongs in a role.

What a role can and cannot do here

A managed role can categorise transactions, match receipts to expenses, flag anomalies and missing documents, and prepare the numbers for review. It cannot and should not be the final sign-off, because BAS is a legal declaration. The working pattern is: the role keeps the file clean and surfaces what needs attention, you or your accountant review and lodge. That way the advisor opens a tidy file instead of a backlog.

How to tell whether it is working

Measure it on the same thing every quarter. How many hours did you spend on BAS preparation? How many documents were missing at review? How many corrections did your accountant have to make? If the hours fall and the missing documents fall with them, the role is doing its job. If corrections go up, the categorisation rules need work — which is a fixable problem, and much cheaper to fix than a late lodgement.

Where the money is

Research collected from Microsoft, Deloitte and MYOB data puts bookkeeping and BAS preparation savings at two to four hours per quarter for the average small business. On its own that is modest. The real win is not the hours; it is not discovering a GST problem the week before lodgement, and not spending the last fortnight of every quarter under a cloud of admin you have been avoiding.
